Consent

By using Setpad, you consent to the collection and use of your personal information in accordance with this privacy statement.

We care about respecting the confidentiality of your data. This privacy statement aims to explain how Setpad’s online application collects, uses and protects personal information in compliance with the Personal Information Protection Act (Bill 25).

Setpad’s service requests and stores some of the information you voluntarily provide to us, including your email address and any additional information you may provide to us.

Personal Information

Using the Setpad application implies that you collect certain personal information necessary for the creation of contracts in the field of cinema and television, as well as for the establishment of timesheet calculations. This information may include, but is not limited to, data such as name, address, social security number and employment details. This personally identifiable information will not be sold or rented to third parties in any way.

When you request a demo on our website, our service collects your email address. This type of information helps us improve our business relationship with you. Our service may also send notifications by email. These notifications contain cookies that allow us to track the effectiveness of our emails.

Usage Data

Our Service uses browser session cookies and browser local storage to maintain the state of the users sessions. This helps to speed up user login. You can configure your browser to disable cookies and local storage, but this will significantly compromise the usability of the product.

Our service logs usage information in encrypted log files, including the features you accessed on our site and standard browser-provided information. We use this information not only to troubleshoot problems, but also to learn aggregate patterns for all of our users to improve our service.

We may use several third-party products and services to help us understand and analyze our website usage data. We currently use Google Analytics, which collects your browser/application usage data when you use our website. Each of these third-party services has its own privacy policy. Setpad undertakes to examine third parties who receive information from Setpad in order to certify their compliance with the principles of Law 25 (Quebec Law on the Protection of Personal Information). Setpad remains liable under the law if its agent (third party) processes such personal information in a manner inconsistent with the Principles, unless Setpad proves that it is not responsible for the fact that caused the damage.

Production Data

As part of the Setpad service in the context of audiovisual production, you collect the email address, first and last name, telephone number and salary information of each employee you manage using the Setpad service. These are only visible to you when you are securely logged in to the Setpad service and to authorized collaborators in your organization when using the collaborative feature of the Pro plan. You are responsible for obtaining consent from those whose personal data you collect.

Data and timesheets generated during production remain accessible for a period of 6 months following the last week of production. After this period, a production will be automatically closed and all timesheets it contains will be removed from the system.
Contracts and related personal information are preserved for a period of 2 years following the last week of production, after which they are also removed. * Note that even if contracts are withdrawn, the system remembers the contact information of your team members, as long as you use them on subsequent productions.

Since you are responsible for the retention period of this data in Setpad, you can remove your employees’ personal information using the tools offered in the Setpad application, before the standard deadlines mentioned above.
Finally, production data is not used by us for usage analysis and is not shared with anyone.

Data Security and Durability

We store production data, user personal information and access tokens in databases hosted by cloud computing hosting providers. We take reasonable technical measures (under Bill 25) to protect your information, including the use of passwords, OAuth, secure HTTP, etc. This includes using advanced security protocols and implementing robust security practices. However, we cannot guarantee that your information is immune to a breach of the security and confidentiality mechanisms put in place by us and the hosts. If any information breach occurs at any time, we will notify affected users via email within 72 hours of the confirmed incident.

Communication

Our service uses email to interact with you once you start using Setpad. These email messages have their own security and privacy limitations, and to the extent your information is communicated over these channels, it is subject to these limitations.

You can opt out of receiving promotional emails from Setpad by following the instructions therein. If you unsubscribe, we may still send you non-promotional emails, such as emails about your Setpad account, apps, or our ongoing business relationships.

If at any time you are unhappy with our service and would like to stop being a user (we hope not!), please email support@setpad.ca and we will delete your account. We may retain certain non-personal information for a reasonable period of time for reporting and auditing purposes.

Contact Setpad and dispute resolution

We maintain and review an extensive control environment including regular training provided to all of our employees on information security policies. Our security policies provide for disciplinary action if our employees do not comply with this Privacy Policy and our Information Security Policy. We periodically review and assess compliance with these policies.

In accordance with the privacy shield principles, Setpad is committed to resolving complaints regarding the collection or use of your personal information. You have the right to access the personal information we hold about you and to correct it if it is inaccurate.
